Calo recognizes that the protection of privacy is a major concern to many of our employees. Therefore, we want you to know how we use, share, and protect the personal information we acquire from you throughout your recruitment and onboarding process. By applying to work at Calo, you are agreeing to the terms of this privacy policy, and consenting to the information collection, use, and disclosure practices outlined below, and to any published amendments.
Acknowledgements
- By applying to work at Calo, you acknowledge your legal capacity to consent to this privacy policy and to consent to the information collection, usage, and disclosure outlined in it.
- By applying to work at Calo, you give Calo consent to use and/or transfer any personal information gathered under this Privacy policy internationally.
Gathering Personal Information:
Throughout your recruitment and onboarding process, we may gather personal information
- that you give to us - through the application form, e-mails, phone calls, interviews, and submitted documents such as your curriculum vitae and cover letter.
- that we acquire via your references verbally or in writing.
- that we acquire from publicly accessible sources such as LinkedIn
We will not be able to process your application if you fail to provide the necessary information when requested - this may include education qualification evidence, references, contact information, etc…
Types of Information Gathered
The personal information we gather about you may include your name, age, date of birth, gender, nationality, employment status, educational qualifications, etc…
Using Personal Information Gathered
We may use personal information gathered throughout the recruitment and onboarding process to:
- Keep a written record of our recruitment and onboarding process.
- Enhance and personalize the recruitment and onboarding experience with us.
- Assess your suitability for vacant roles - this may include carrying out background and reference checks.
- Communicate with you throughout the recruitment process
- Comply with legal or regulatory requirements.
Lawful Usage of Data
In compliance with the General Data Protection Regulation ((EU) 2016/679), your data will be
- Used lawfully, fairly, and transparently.
- Collected only for recruitment and onboarding purposes, and relevant only to that purpose.
- Accurate and kept up to date.
- Maintained no longer than is necessary
- Processed in a manner that ensures it is secure and protected.
Automated Decision Making
We will not use your data to make any automated decisions. However, we may use artificial intelligence and technology to select appropriate candidates based on criteria expressly identified by us to filter potential candidates. Nevertheless, any decisions concerning the recruitment process - such as selection, job interview, cultural fit interview, and any potential tests and tasks are not automated.
Data Subject Rights
Under the General Data Protection Regulation grants, your rights relating to your personal data are as follows:
- Right to Request access to your personal data, to ensure it is accurate and being processed lawfully.
- Right to Request correction of the personal data that we hold about you, to correct any inaccurate information, and to ensure your personal data is accurate and updated.
- Right to Request erasure of your personal data. You can request that your personal data is deleted where there is no legitimate purpose and/or reason for its storing and processing.
- Right to Object to processing of your personal data. You have the right to object to the processing of your personal data in certain cases, such as when it is processed for direct marketing purposes.
- Right to Request the restriction of processing of your personal data.
- Right to Request the transfer of your personal data.

Non-Discrimination
In accordance with the United Kingdom’s Equality Act 2010, we have a zero-tolerance policy towards discrimination. Our recruitment process is strictly non-discriminatory, and all decisions are taken partially and objectively.
Surveys and polls
From time to time, Employees and Applicants may be asked to participate in voluntary surveys and polls to enhance their onboarding experience. As a part of this process, you may be asked to supply personal information such as demographic information and lifestyle preferences. These surveys will be strictly voluntary and you can choose to disclose this information or not.
Data Retention
Your personal information will be retained for no longer than seven years after your application, this is referred to as the “Data retention period”. The Data retention period protects the rights of both parties as well as enables us to have a database of potential employees in case of a vacant position. Your data will be automatically deleted after the data retention period.
Sharing of information
We may share your personal information with our affiliates, in which case we will require our affiliates to honor this Privacy Policy. If another company acquires our company, business, or our assets, we may transfer your personal information to that company and that company will assume the rights and obligations regarding your personal information as described in this Privacy Policy unless and until it is modified as set forth herein. We will not sell or otherwise share personally identifying information with other people or nonaffiliated companies except for those purposes described herein, or as required by law. However, we will share this information with certain business partners to provide requested services that we do not provide directly. Also, we may disclose specific information upon governmental request, in response to a court order, when required by law, or to protect our or others’ rights, property, or safety.
Security
We have attempted to take all reasonable steps to have physical, electronic, and procedural safeguards in place to protect your personal information, this includes compliance with related federal regulations and may include the use of industry-standard Secure Socket Layer(SSL) encryption to prevent any loss, misuse, unauthorized access, disclosure, or modification of personal information.
Unfortunately, no data transmission can be guaranteed to be 100 % secure. As a result, while we strive to protect your personal information in accordance with the GDPR, we cannot guarantee or warrant the security of any of your information.
Disclaimers of warranties
To the full extent permitted by Law, Calo disclaims any representations and warranties in respect to its recruitment and onboarding experience, whether express or implied.
Amendments:
Calo reserves the right to amend this privacy policy anytime, and any amendment is effective upon being published on the Website.
